Fees and Billing
- Credit card convenience fee of 3.5% on all credit card transactions.
- An advance retainer of at least $5,000.00 is required for long-term care (service of 30 days or more) and hospice care.
- In addition to the retainer, a security deposit of up to 4 weeks of service may be required for long-term care.
- Emergency services may carry additional charges at our discretion.
- Staffing, Care Planning and Care Coordination: $400.00 per hour.
- Clinical/Skilled positions (RN, LPN, NP, PT, OT, ST): $145.00 to $200.00 per hour, depending on case complexity.
- Non-Skilled positions (VIP Home Health Aide, Personal Care Aide, Certified Nurse Assistant): from $45.00 per hour days and $47.00 per hour nights and weekends.
- Night (7pm–7am) and weekend (Sat/Sun) shifts bill higher than weekday day shifts.
- All rates bill at 1.5 times the disclosed rate on US holidays, including holiday day rates for flat-rate and live-in services.
- Long-term care rates increase annually by a minimum of $2.00 per hour.
- Call for fees: Housekeeping, Home Making, Butler and Maid Services; Overseas Travel Care and Staffing; Domestic Travel and Staffing; VIP Care Management.
- Additional billable services: Durable Medical Equipment (ordering, coordination, setup, delivery); Nutritional Therapies; Clinician Transportation; Travel Booking and Planning; caregiver scheduling overlap.
- Late fees: 1% per month. Wire transfer fee: $30.00 per transaction. Returned check fee: $50.00 per check.
- Holding fees of 50% of the day or hourly rate apply when we hold personnel before or during service due to extended hospital stays or uncertain discharge dates. This keeps the exact staff the patient requested and requires. Staff may support hospital staff so service continues in the hospital.
Financial Guarantor
A Financial Guarantor is required for all long-term care and hospice cases. The guarantor must be a person outside the patient’s estate who personally guarantees payment of all invoices.
- Payment from the patient’s accounts, estate or POA alone is not accepted as the sole guarantee.
- If the patient’s accounts are frozen due to incapacity, death or probate, the guarantor remains responsible for payment when due.
- Invoices will not be placed on hold pending probate or estate administration.
Notwithstanding the foregoing, all fees are subject to change based on demand, complexity of need, risk and environmental conditions.
Client acknowledges receipt of and agrees to the foregoing fees and billing policies.

Invoicing
- Invoices are sent biweekly by email through QuickBooks.
- Payment is due within 72 hours of receipt.
Participation in Long-Term Care
Subject to HIPAA, we will provide our home care license, invoices and patient care notes to a family member designated by the patient. That family member and the Financial Guarantor are responsible for managing all long-term care reimbursements.
No private insurance, Medicare or Medicaid accepted.
Payment Methods
- No caregiver may accept any form of payment.
- Major credit card (multiple cards required on file).
- ACH.
- Wire transfer.
- Cash, in person, only to administrative personnel and arranged in advance.
- Overnight check by FedEx to: VIPrivate Care, 10 Herrick Drive, Old Tappan, NJ 07675.
Setting Appointments
The family must arrange clinical appointments and service visits with our staff in advance. All parties are expected to honor these appointments, and we may charge for them if cancellation times are not honored.
Exclusive Patient Service — No Commingling of Services
The contracted patient is the only person our caregiver serves.
- No relative, spouse, partner, friend, household member or guest may receive care, assistance or services from our caregiver.
- The only exception is a Good Samaritan situation: in a genuine emergency, our caregiver may render emergency aid and call 911 for another person. The caregiver will report any such event to VIPrivate Care immediately.
- Care for any additional person requires a separate engagement, intake and caregiver.
Scope of Service and Patient Safety
No caregiver may be asked to do anything outside the scope of their profession, license or these policies, or anything that places the patient in danger.
- Caregivers will never leave the patient unattended. For example, a Home Health Aide cannot leave the patient to do food shopping or run errands.
- Errands may be done only with the patient accompanying the caregiver, when the plan of care permits, or by separately contracted staff.
- Caregivers will decline any request outside their scope. Repeated requests may result in termination of service.
Authorized Decision-Makers and Non-Interference with Care
No person may interfere with the care contracted for the patient. Only the patient, or a legally authorized representative, may direct care, receive medical information or make service and financial decisions.
- Health Care Proxy. A Health Care Proxy must be legally in effect for anyone to act on the patient’s behalf. A proxy takes effect only after the patient’s physician determines in writing that the patient cannot make their own decisions. While it is in effect, we may take direct orders for care and service changes from the proxy.
- Other vital documents. Documents that protect the wishes and needs of the patient include, but are not limited to, MOLST/POLST, Durable POA, Medical POA, Living Will, Advance Directive, and revocable or irrevocable trusts that contain medical directives. All such documents must be disclosed to us. We can and will only follow what we are informed of.
- Purpose. These rules prevent anyone without legal authority from influencing the patient’s care.
- Fiduciary responsibility. We will not share medical or personal information with, or take orders from, anyone not authorized to receive or give them on the patient’s behalf. Where required by law, we will report suspected interference, neglect or exploitation to the appropriate authorities.
Caregiver Respect and Zero Tolerance for Abuse
No patient, family member or visitor may interfere with the professional and emotional needs of our caregivers, including scheduled breaks, meals, rest and a safe working environment.
We do not tolerate any form of emotional, mental, verbal, physical or sexual abuse, harassment, threats or discrimination toward our staff. If it occurs, we reserve the right to:
- Remove the caregiver immediately.
- Suspend or terminate care, with notice to the responsible party and, where required, the patient’s physician.
- Receive full payment for all services obligated by the patient under this agreement, including any unused services and the applicable notice period.
Client acknowledges receipt of and agrees to the exclusive service, scope, non-interference and zero-tolerance policies.
